Privacy policy
How we handle your personal information under Alberta's Personal Information Protection Act and other Canadian privacy law.
Who we are
Summit Auto Care Calgary Ltd. ("Summit Auto Care", "we") operates an auto repair shop at 75 Sun Valley Blvd SE, Calgary, AB T2X 2G6. This policy explains how we collect, use, disclose and protect personal information.
Laws that apply
As a private-sector organization in Alberta, we follow Alberta's Personal Information Protection Act (PIPA). Where personal information crosses provincial or national borders in the course of commercial activity, the federal Personal Information Protection and Electronic Documents Act (PIPEDA) may also apply. Our commercial electronic messages follow Canada's Anti-Spam Legislation (CASL). If these laws are amended or replaced, we will update this policy.
What we collect
- Contact details – name, phone number, email address and, for invoices, mailing address.
- Vehicle information – year, make, model, VIN, licence plate, odometer reading and service history.
- Booking and repair details – your description of the problem, estimates, approvals, photos of your vehicle and invoices.
- Payment information – processed by our payment terminal provider; we do not store full card numbers.
- Inspection records – information needed for inspection reports you request.
- Website data – with your consent only, analytics data (see Cookies below).
Why we use it
- To respond to enquiries, book appointments and contact you about your vehicle.
- To prepare estimates, carry out and document repairs, and honour warranties.
- To complete inspection reports you request.
- To keep accounting and tax records required by law.
- To send service reminders and offers – only with your express consent, which you can withdraw at any time.
We collect only what is reasonable for these purposes and do not sell personal information.
Consent
We rely on your consent, which may be express (for example ticking a box) or implied where the purpose is obvious, such as using your phone number to tell you your vehicle is ready. You may withdraw consent on reasonable notice, subject to legal or contractual restrictions; we will tell you the likely consequences.
Marketing emails (CASL)
We send commercial electronic messages such as offers only if you have given express consent, for example by ticking the optional box on our booking form, or where CASL allows implied consent based on an existing business relationship. Every message identifies Summit Auto Care Calgary Ltd., includes our mailing address and contains a working unsubscribe link. Unsubscribe requests are processed within 10 business days.
How long we keep it
Vehicle and repair records are kept while you are a customer and for up to seven years afterwards, to support warranty claims and meet tax-record requirements. Booking enquiries that do not lead to a visit are deleted within 12 months. We destroy or anonymize information we no longer need.
How we protect it
We use reasonable security safeguards: access limited to staff who need it, password-protected systems with multi-factor authentication, locked filing for paper records and secure disposal. If a privacy breach creates a real risk of significant harm, we will notify you and the Office of the Information and Privacy Commissioner of Alberta as required by PIPA.
Your rights
You may ask to access the personal information we hold about you and to correct it if it is inaccurate. We respond within the time required by law (generally 45 days under PIPA). There is no charge for most requests.
